Cancellation Policy:
At Rooted Awakenings, we respect your time and ours. We require at least 24 hours’ notice for any appointment cancellation or rescheduling. Appointments canceled with less than 24 hours’ notice, or failure to attend a scheduled appointment, will be considered late cancellations or no-shows.
Late cancellations and no-shows may be charged up to 100% of the scheduled service price at the discretion of the stylist or practitioner. Clients who repeatedly cancel or reschedule with insufficient notice may be required to prepay for future services or may be declined future bookings.
We understand that emergencies happen. Please contact us as soon as possible if an emergency prevents you from providing proper notice. Exceptions and credits are handled on a case-by-case basis at the discretion of your stylist or practitioner.
Credit Card Chargeback Policy:
Rooted Awakenings is committed to fair and transparent billing practices. If you have a concern regarding a charge, we encourage you to contact us directly before initiating a chargeback with your credit card provider.
If a chargeback is initiated, we will review the claim and may provide documentation such as appointment confirmations, service records, and signed agreements. Chargebacks determined to be invalid or fraudulent may result in responsibility for any associated fees imposed by the credit card company.
Excessive or fraudulent chargebacks may result in the refusal of future services. If a chargeback is deemed valid, a refund or account credit will be issued promptly.
HIPPA Policy:
Rooted Awakenings is committed to protecting the privacy and security of Protected Health Information (PHI) in compliance with the Health Insurance Portability and Accountability Act (HIPAA). This policy applies to all employees, contractors, and business associates who may have access to PHI.
We implement administrative, physical, and technical safeguards to protect PHI, including staff training, access controls, secure record handling, and encryption of electronic information. Any suspected or actual HIPAA violations must be reported immediately and will be investigated promptly.
